How we process your data

Privacy policy

This page explains what personal data we collect through the website, why, how long we keep it and what your rights are. This policy has been prepared in accordance with the General Data Protection Regulation (GDPR).

What data we collect

There is a single means of collecting data on this website — the enquiry form. In it you may provide:

  • your name, or whatever you would like us to address you by;
  • contact details, which you provide so that we can reply;
  • the location of the site — the city, municipality, neighbourhood or address;
  • a description of the work — what needs doing to the tree or the site;

We ask for no other data on the website. We have no user accounts, no registration and no payment processing on the site.

Why this data is needed

We use the data you submit in order to reply to your enquiry, prepare a quote and, if we agree on the work, carry it out.

On photos specifically. Images you attach are a tool for assessing the job. From them we judge the size and condition of the tree, its surroundings and access — which is what allows us to give a real price without a separate site visit. We use photos solely to evaluate that particular enquiry and to prepare a quote. We do not use images you send for publication — on the website or on social media, for instance — without your separate consent.

Lawful basis

  • Preparing and performing a contract. When you submit an enquiry, you are asking for a quote. Processing the data is necessary in order to prepare that quote and, if we reach agreement, to carry out the work.
  • Legitimate interests. Retaining the correspondence recording what was asked for and what was agreed, and ensuring the security and operation of the website.
  • Consent. This applies to optional matters — analytics cookies and any use of the images you submit beyond evaluating that particular enquiry. Consent may be withdrawn at any time.
  • Compliance with legal obligations. If the work is carried out, accounting and tax documents are subject to the retention periods laid down in legislation.

How long we keep data

Enquiries that do not lead to work we keep for a reasonable period after the correspondence ends — only as long as is necessary in case you come back with the same question — and then delete. If the work is carried out, we keep the related documentation for the periods laid down in legislation. Attached photos we delete once they are no longer needed to document the enquiry or the completed work. You may also ask for erasure sooner.

Disclosure of data

We do not sell your data and we do not pass it to third parties for marketing purposes.

Technically, some data is processed by the service providers we use to run the website — the website hosting service, the service that handles form submissions and e-mail delivery, and a visitor statistics tool. These processors process the data only on our instructions and only for the purpose for which it was passed to them. We may also disclose data where legislation or the competent authorities require it.

How much data is needed

You do not have to fill in everything on the form. In order to reply, we need one means of contact, an approximate location and a description of what needs doing. There is only any point in giving the exact address once we are planning a visit. If you aren't sure about a particular field, leave it blank and write down what isn't clear — we'll ask in our reply.

We neither ask for nor want to receive data that isn't needed to assess the job. If something superfluous ends up in the description on the enquiry, we don't use it in assessing the work, and we delete it along with the rest of the enquiry material.

Automated decisions

Enquiries are assessed by a person. The quote is prepared by an arborist who looks at your description and your images. We do not carry out automated decision-making or profiling that would produce legal effects for you. Nor do we use the data to build advertising audiences.

Your rights

In relation to your personal data you have the right:

  • to be informed about what data of yours we hold, and to access it (right of access);
  • to ask for inaccurate data to be rectified;
  • to ask for data to be erased where there is no longer a lawful basis for it (right to erasure);
  • to ask for processing to be restricted;
  • to object to processing based on legitimate interests;
  • to receive your data in a structured format (data portability);
  • to withdraw consent you have given, without affecting the lawfulness of processing carried out beforehand;
  • to lodge a complaint with the supervisory authority — in Latvia this is the Data State Inspectorate (Datu valsts inspekcija).

How to exercise your rights

Submit a request concerning your data — access, rectification, erasure or an objection — using the website's enquiry form, stating that the matter concerns personal data. In order to act on the request, we have to be able to identify which enquiry is yours. We reply within a reasonable period, in accordance with the requirements of legislation.

Cookies and statistics

The website uses cookies for the basic operation of the site and for anonymous visitor statistics. What they are and how to control them is described in the cookie policy. Refusing statistics cookies does not interfere with the operation of the site.

Security and changes

We keep the data and images you submit under as restricted an access as carrying out the work allows. We may supplement this policy from time to time — if the technical services we use change, for example. The current version is always available on this page. General terms of use for the website are set out separately.

Frequently asked questions

What do you do with the photos I attach to an enquiry?
We use them to assess the job and prepare a quote — from the images we can see the size and condition of the tree, its surroundings and access. We don't use them beyond evaluating that particular enquiry, and we don't publish them without your separate consent.
How do I ask for my data to be deleted?
Submit the request through the website's enquiry form, stating that the matter concerns personal data. In order to act on the request, we have to be able to establish which enquiry is yours.
Do you pass data to third parties?
We don't sell data and we don't pass it on for marketing purposes. Technically, some data is processed by the service providers we use to run the website — hosting, form and e-mail delivery, visitor statistics. They process the data only on our instructions.
